Office Manager - Zidan Management Group

Job Summary:
The Office Manager oversees the daily operations of the office to ensure a productive, efficient, and well-organized work environment. This role is responsible for coordinating administrative support, managing office resources, overseeing vendor relationships, and serving as a key point of contact for employees, leadership, and visitors.
Key Responsibilities:
Office Operations:
- Oversee day-to-day office functions to ensure smooth and efficient workflow.
- Maintain office supplies, equipment, and inventory; coordinate repairs and maintenance as needed.
- Manage office layout, workstation assignments, and facility-related needs.
- Ensure the office environment is clean, organized, and welcoming.
Administrative Support:
- Provide administrative support to leadership and staff, including scheduling meetings, preparing documents, and handling correspondence.
- Manage calendars, travel arrangements, and meeting logistics.
- Assist with report preparation, presentations, and other business documents.
Communication & Coordination:
- Serve as the primary point of contact for internal and external inquiries.
- Coordinate with vendors, service providers, and building management.
- Support employee onboarding by preparing workspaces, coordinating equipment setup, and organizing orientation materials.
Financial & Compliance:
- Assist with basic bookkeeping tasks such as invoice processing, expense tracking, and budget monitoring.
- Ensure compliance with company policies, safety procedures, and record‑keeping requirements.
- Maintain confidential files and sensitive information with discretion.
Employee & Culture Support:
- Plan and coordinate company events, meetings, trainings, and employee engagement activities.
- Support HR with communication initiatives and general administrative needs.
Qualifications:
- Proven experience in office administration, office management, or a related role.
- Strong organizational and time‑management skills with the ability to multitask.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and common office technologies.
- Ability to work independently, take initiative, and adapt to shifting priorities.
- Professional demeanor and strong interpersonal skills.
- Valid driver’s license is required.
Working Conditions:
- May occasionally require lifting up to 20 lbs or assisting with event or office setup.
- Some local travel may be required for errands, meetings, or company events.
Work Schedule:
- Full-Time. (On-Site).
- Monday-Friday, 9 AM-5:00PM.
Compensation:
- $22-$26/hr dependent on experience
